Short step-by-step guides for everything you do in your Zipfixy panel.

Getting started

Add your business details and logo
  1. Open Settings and then Business.
  2. Fill in Business name, Contact email and Contact phone.
  3. Pick a Brand colour: it is used on your booking page, your buttons and your emails.
  4. Tap Save settings.
  5. Under Logo, choose an image (PNG, JPG or WebP, up to 1 MB) and tap Upload logo.

The contact email is your own address: that is where the panel tells you about new bookings and cancellations.

Add your services and prices
  1. Open Settings and then Services.
  2. Tap + New.
  3. Write the name in English and, if you like, in Greek.
  4. Set the Duration (min) and the Price (fixed, “from” or free).
  5. Leave Visible on the public booking page on if clients can book it online.
  6. Tap Create service.

Use Manage categories to group services (Hair, Nails, Beard…) so they show grouped on your booking page.

Add your staff and their working hours
  1. Open Settings and then Staff, and tap + New.
  2. Write their name, pick a calendar colour, leave Accepts online bookings on and tap Create.
  3. On their page, tick the Services performed and tap Save services.
  4. Under Weekly schedule, use Add time range for each working day (you can add two ranges for a split shift) and tap Save.
  5. For holidays, use Time off and Add time off.

Each plan has a limit of professionals with a calendar: Solo 1, Team up to 5, Pro up to 10.

Set your opening hours and closed days
  1. Open Settings and then Business, and find Opening hours.
  2. Choose the days, the opening and closing time, and tap Add.
  3. If your team works the same hours, tap Apply to the team's shifts.
  4. For holidays when the whole business is closed, open Settings and then Closures.
  5. Choose the dates, add a label if you like (e.g. Christmas) and tap Add closure.

A closure never deletes or moves existing appointments. If some fall on those dates, the panel warns you so you can contact those clients.

Make a test booking
  1. Copy your Direct link from Settings → Share and open it on your phone.
  2. Book a service as if you were a client, using your own email.
  3. Check your inbox: you get the client's confirmation email.
  4. Open Calendar in the panel: the appointment is there.
  5. Open it and tap Cancel booking to free the time again.

If a service or a professional doesn't appear, check that the service is visible online and ticked in that person's services.

Calendar

Create an appointment or a walk-in
  1. Open Calendar and tap New booking (or tap a free time in the grid).
  2. Choose the service, the professional, the day and the time. Find the next free times helps if you're not sure.
  3. Write the Customer name and their phone or email.
  4. Tap Create booking. The client gets a confirmation email if you added their email.
  5. For someone who walked in without an appointment, tick Walk-in: the client's details become optional.
Block time (lunch, breaks, personal)
  1. Open Calendar and tap Block time.
  2. Choose the professional (or the whole team), the day and the hours.
  3. Pick the Type (Lunch, Break, Training, Meeting, Personal…) and add a reason if you like.
  4. To repeat it, use Repeat (every day or every week on certain days) and an end date if needed.
  5. Tap Block. Nobody can book that time online.

To remove it, open the block and tap Remove block. For a repeating block you can remove only that one or all the following ones.

Move, cancel or complete an appointment
  1. In Calendar, drag the appointment to its new time and tap Move. You can Undo right after.
  2. Or open the appointment, tap Edit appointment, choose the New day and New time, and tap Save changes.
  3. To cancel, open it, choose a reason and tap Cancel booking. The client gets an email.
  4. When the visit is over, tap Mark completed (or Mark no-show if they didn't come).

If the till is switched on, charging the appointment marks it as completed for you.

Book repeating appointments
  1. Open Calendar and tap New booking.
  2. Fill in the service, professional, first day, time and client as usual.
  3. Under Repeat, choose Every week, every few weeks or Every month (same day).
  4. In How many times, write how many appointments you want.
  5. Tap Create booking. If a date is already taken, the panel tells you which one was not booked.

To stop the series, open one appointment and cancel it together with all the following ones.

Use the waiting list
  1. In Calendar, tap Waiting list.
  2. Under Add someone to the waiting list, write the client's name, phone or email, the service and the dates that suit them.
  3. Tap Add to the waiting list.
  4. When an appointment is cancelled, the first person who fits gets an email offer automatically, with 30 minutes to accept.
  5. You can also use Call or Find a time and book them yourself.

Clients can also join the waiting list themselves from your booking page.

Clients

Client record, notes and tags
  1. Open Customers and search by name, phone or email.
  2. Open the client to see their visits, spending, no-shows and past and upcoming appointments.
  3. Write in Internal notes (allergies, preferences…) and tap Save notes. Only your team sees them.
  4. For something important, use Pinned note: it shows on every appointment of that client.
  5. Add Tags such as VIP or Allergy and tap Save tags.

The filters at the top help you find clients who haven't come back in 60 days, top spenders or new clients.

Merge duplicate clients
  1. Open Customers. If there are any, you'll see Possible duplicates: tap it.
  2. Each group shows clients with the same name but different contact details.
  3. Under Which record do you keep?, choose the one to keep.
  4. Tap Merge. Appointments, contact details, notes and tags move to the record you kept.
  5. If they are really two people, tap They are different people.

Nothing is ever merged unless you say so.

Import your clients from another booking system or a spreadsheet
  1. Export your clients (and, if you like, services and appointments) from your current booking system as CSV or Excel.
  2. In Zipfixy Book, open Settings → Data and tap Import clients, services and appointments.
  3. Upload your files and tap Continue. Check that each field points to the right column.
  4. Tap Check the import to see what will come in. Nothing is saved yet.
  5. Tap Import now.

If something doesn't look right, you can undo the whole import from Settings → Data, under Previous imports.

Export your data
  1. Open Settings and then Data.
  2. Under Export, tap Export customers (CSV) or Export bookings (CSV).
  3. Prefer Excel? Use Export customers (Excel) or Export bookings (Excel).
  4. To give one client a copy of their data, open them in Customers and tap Download their data (GDPR).

Your data is yours: you can download it at any time, no strings attached.

Payments & till

Take a payment in the till (tips, split payment, receipt)
  1. First time only: open Settings → Till, switch on Use the Zipfixy till and tap Save.
  2. Open the appointment in Calendar and tap Charge (for a sale without an appointment, use Quick sale in Sales).
  3. Add products with Add product or extra and a Discount if needed.
  4. Under How does the client pay?, choose the method. Use Split between two methods to split, and Tip (optional) for tips.
  5. Tap Charge with the amount shown. Then View sale to use Send receipt or Print / PDF.

Zipfixy records what you charge; card payments go through your own card terminal. In Settings → Till you can set VAT, payment methods and receipt numbering.

Close the till at the end of the day
  1. Open Sales: you see today's sales, tips and the Cash that should be in the drawer.
  2. Tap Close the till.
  3. Count all the cash in the drawer (float included) and type it in Cash counted.
  4. Tap Save the close. The panel tells you if the cash matches, or how much is over or missing.

The float left in the drawer every day is set in Settings → Till.

Online payments and deposits
  1. Open Settings and then Payments.
  2. Choose Yes, I want to take payments online.
  3. Tap Connect Revolut and follow the step-by-step guide to get your Revolut Business merchant key.
  4. Paste your Revolut Secret API key and tap Connect my Revolut.
  5. Choose how clients pay: the full price, a deposit when booking (a percentage or a fixed amount), or the client chooses.

The money goes straight to your own Revolut Business account. Zipfixy takes no commission; you only pay Revolut's card fee. If the client cancels in time, or you cancel, the payment is refunded automatically.

Team

Invite your team and choose their role
  1. Open Settings and then Team.
  2. Under Invite someone, write their email.
  3. Choose the Role: Manager (calendar, customers, services, schedules and closures) or Team member (calendar and customers).
  4. Link them to Their calendar column so they see their own appointments.
  5. Tap Send invitation. They get an email with a link that signs them in straight away, no password.

You can also choose whether each person sees only their own agenda, can see clients' phone and email, or can download exports.

Set up team commissions
  1. Open Settings and then Commissions.
  2. Switch on Use team commissions.
  3. Under Commission rates, give each professional a percentage for services, products and passes.
  4. Tap Save rates. A change applies from now on; past sales keep their rate.
  5. To see what each person earned, open Metrics → Team commissions.

Commissions are worked out on what was really charged, without VAT and after discounts.

Grow your business

Google reviews and “time to come back” remindersGoogle reviews add-on
  1. Open Settings and then Automations.
  2. Switch on Ask happy customers for a review and paste Your Google review link (in Google Business Profile: “Ask for reviews” → copy the link).
  3. Switch on the “Time to come back” reminder and tap Save settings.
  4. Then open Settings → Services, open each service and fill in Rebooking reminder every (days, optional), e.g. 28 for a haircut.
  5. Save the service. After a completed visit, the client is invited to book again after that many days.

Both emails only go out after appointments marked as completed, and never to someone who already has a booking or unsubscribed.

Loyalty points and rewardsMarketing add-on
  1. Open Settings and then Loyalty.
  2. Switch on Use loyalty points and set the points per €1 paid.
  3. Optionally, give points for a Google review or for bringing a friend.
  4. Under Rewards, write the reward (e.g. €10 off), the points it costs and its value, and tap Add reward.
  5. At the till, the client's points and available rewards appear when you charge them.

If you turn loyalty off later, clients keep their points.

Email campaigns and discount codesMarketing add-on
  1. Open Marketing (on the phone, from Customers).
  2. In Discount codes, tap New code, write the code and the discount, and tap Create code.
  3. In Email campaigns, tap New campaign and choose Who gets it (all clients, those who haven't come in a while…).
  4. Write the subject and message, or start from a template, and include a code if you like.
  5. Tap Send me a test to check it, then send it to your clients.

Only clients who gave permission get marketing emails, and every email has an unsubscribe link. The Birthday email tab sends a greeting on each client's birthday.

Your account

Sign in and change the language
  1. Go to book.zipfixy.com/dashboard, write your email and tap Email me the link.
  2. Open the email and tap the link, or type the code in Code from the email and tap Sign in. There is no password.
  3. To change the panel's language, tap EN or EL (at the top on the phone, at the bottom of the side menu on a computer).
  4. To leave, tap Sign out.

Didn't get the email? Check your spam folder, or request a new code after a few minutes.

Your plan and free trial
  1. Your first 14 days are a free trial with everything included, add-ons too.
  2. To see your plan, open Settings → Plan and billing: it shows your plan, the date your free trial ends and what you would pay.
  3. The price is 19,95 € a month with one professional, plus 9,95 € for each extra professional. Marketing, Insights and Google reviews are optional add-ons; connecting your own domain to your website is free. See all the details on our pricing page.
  4. To choose your plan, tap Choose my plan on the banner or open Plan and billing, tick the add-ons you want and pay monthly or yearly by card. If you do it during the trial, nothing is charged until the trial ends.

When the trial ends, everything keeps working for 3 more days. Nothing is lost when you choose your plan: anything you set up stays as it was.
